Trainer’s Tip: How to Use Quick Fill When Texting Clients


In this time of uncertainty, clear communication with your clients is more important than ever. Clients always appreciate case updates, even if the news isn’t positive every time. Right now, they may be distracted and need alerts reminding them to keep medical appointments and attend virtual hearings to keep the case moving.

Needles 5 incorporates text messaging built right into the software. This allows you to easily communicate with clients in a direct manner that makes it easy for them. It’s as simple as clicking on the mobile number on the Party tab, typing in your message and clicking send.

For those who are not familiar with Needles’ built-in texting, it allows users to send messages from themselves or others at the firm. Since all text messages are actually sent via email, a copy of everything you send will be stored in Outlook, with client replies delivering directly to your inbox. The client doesn’t notice the difference and you don’t have to give out your personal phone number or incur monthly data usage fees.

While many Needles users already know and love the text messaging function, a lesser-known feature within messaging, Quick Fill, allows users to pre-populate frequently used messages such as appointment reminders or requests for contact. Needles users can take advantage of this feature now to check in with clients during these uncertain times.

To add options to the Quick Fill drop down, simply:

  • Go to Directory, Mini-Directories and choose Quick Fill.

You can add as many messages here as you like, but make sure to keep them generic enough to be useful in multiple scenarios. Then when you send a text message, all those options will be right there for you.

Pro tip: You can add more than one Quick Fill. You can select one Quick Fill to add in a message checking in on your client and then select another Quick Fill to easily add all the firm’s contact information. In this way, you can easily build a customized message without having to type the same things over and over again.
